Off-boarding a mailbox when someone leaves
When a team member leaves, you'll usually want to secure their mailbox, keep their mail and make sure their address still reaches the business. Because Managed Email is managed, we handle it — you just tell us how you want it done. A few common approaches:
- Lock it but keep it. We change the password so the former employee can no longer log in, while the mailbox and its history stay intact and backed up. Simple and safe as a first step.
- Forward the address on. We redirect mail sent to the leaver's address to a manager or colleague, so customers who still email the old address are looked after and nothing is missed.
- Reassign the address. If a replacement is taking the same role, we can hand the address (or its incoming mail) over to them.
- Retain the contents. Whatever you choose, the mailbox's mail is covered by the 30-day backup retention, and we can preserve or hand over the contents as needed.
What to tell us: which mailbox, and what should happen to (a) logins, (b) incoming mail to that address, and (c) the existing contents. We'll action it and confirm.
