Downloading and safely storing your PDF certificates
A MailProof certificate is only useful later if you can still find it, so it's worth having a simple routine for keeping them.
After each confirmed send you receive two things: the PDF delivery certificate and a confirmation email with the PDF attached. Both carry the certificate ID and tracking code.
Good practice for storing them:
- Save the PDF somewhere durable, not just in your inbox. A dedicated folder — for example, one per matter, contract or tenancy — keeps the proof next to the thing it relates to.
- Keep the confirmation email too. It is a convenient second copy and holds the same references.
- Note the certificate ID against the relevant record (a contract file, a compliance log, a tenancy file). If you ever need to verify delivery, that reference is all you or the other party needs on the public verification page.
- Back it up if the matter is important. Treat a certificate for a key deadline the way you would treat the signed contract itself.
Because anyone can re-verify a certificate online using its ID or tracking code, a stored PDF stays checkable long after the email was sent — provided you can lay hands on it when it counts.
