Adding a custom signature and footer to your certified emails
MailProof lets your certified emails carry a custom signature and footer with your own contact details, so they look like the rest of your correspondence rather than a bare system message.
This matters for two reasons:
- Recipients see you, not us. Certified emails are sent from your own registered address, and a proper signature reinforces that the message is genuinely from you — which is exactly what you want when the message is a formal notice or contract.
- Consistency. A footer with your business name and contact details keeps certified mail in step with your usual branding and gives the recipient an easy way to reach you.
Set up your signature and footer in your MailProof account, and they will be applied to the emails you send. Keep the content professional and accurate — remember the whole point of a certified email is that it is a formal, on-the-record communication, so the details in your footer are part of that record. If you send on behalf of an organisation, make sure the signature reflects the correct business name and any contact information a recipient might need to respond.
